Reference & policy
01DraftMethods, governance, instruments, and access are being configured.
02Internal reviewThe study is submitted for internal review before approval.
03ApprovedApproval assigns the official study number and authorizes progression.
04Active collectionApproved instruments may collect research data.
05AnalysisCollection is closed or controlled while analysis proceeds.
06ClosedStudy is retained, archived, or disposed according to its governance plan.

Study setup

One configuration surface for research and governance.

These areas form the study record. A study should not move into active collection until the applicable sections are reviewed.

Privacy defaults

Pseudonymous unless the study deliberately chooses otherwise.

Routine analysis should work with participant IDs rather than names. Identity, linkage, research evidence, analysis, and findings are treated as different access layers.

Identity modepseudonymous
Separate identity storeRequired
Routine exportsDe-identified
Working transcriptsRedacted by default
AI useExplicit study permission

Identity handling choices

AnonymousAvailable

No direct identity is collected for the research record.

PseudonymousRecommended default

Identity is stored separately and research records use a participant identifier.

IdentifiedAvailable

Identity may remain attached only when the study requires it and permissions allow it.

Contact-only identityAvailable

Recruitment/contact details are retained separately from analysis data.

Data separation

Identity is not the research record.

Access can be granted independently at each layer so analysts do not need participant names in order to work with the evidence.

01Identity VaultNames and contact information. Most restricted layer.
02Linkage RegistryParticipant ID to identity mapping. Explicit re-identification access only.
03Research EvidenceResponses, transcripts, notes, observations, documents, and provenance.
04Analysis WorkspaceDe-identified coding, themes, memos, matrices, and interpretations.
05Findings & ExportsReviewed outputs with de-identification checks applied by default.

Participant explanation

Plain language should match the actual study configuration.

Your name and contact information, when collected, are stored separately from your research responses. Research records use a participant identifier rather than your name. Access to identifying information is limited to authorized personnel and identifying information is excluded from routine analysis and research exports.

For an anonymous study, this language should instead state that the research instrument does not collect information designed to identify the participant.
